Vion Mobility is, by design, a small house. The information we hold about our clients is minimal, kept only as long as it serves you, and never treated as a commodity. This policy explains, in ordinary language, how we handle the details you share with us when arranging a chauffeured journey.
1. Scope of this policy
This policy applies to anyone who books, enquires about, or rides in a Vion Mobility vehicle, and to visitors of vionmobility.com. It covers our chauffeured services across the cities we operate in, and any communication we exchange with you by phone, email, or messaging.
Where a corporate client books on behalf of a guest, this policy extends to the passenger as well as the booker.
2. Information we collect
We collect only what is needed to plan a journey well and account for it afterwards. Specifically:
Information you give us
- Identity & contact: your name, phone number and email address.
- Journey details: pick-up and drop-off addresses, date and time, flight or train references where relevant, and the names of any additional passengers you ask us to receive.
- Preferences: vehicle choice, temperature, music, water, child seat requirements, accessibility notes, and any standing instructions you ask us to remember.
- Billing: invoicing details for corporate accounts, and the last four digits and brand of the card used for payment. Full card numbers are never stored on our systems.
- Correspondence: the substance of emails, calls and messages exchanged with our team.
Information collected automatically
- Vehicle telematics: route, mileage and timing, recorded for safety, insurance and billing accuracy.
- Website usage: standard server logs and limited analytics when you visit our site (see Section 8).
We do not collect biometric data, photographs of passengers, or in-cabin audio or video, and our chauffeurs are explicitly trained not to do so.
3. How we use your information
We use the information you give us to:
- plan, confirm and deliver the journey you have booked;
- brief the assigned chauffeur with the minimum needed to receive you well;
- communicate with you about the journey, including arrival times, delays, route changes, or follow-up notes;
- process payment and issue accurate invoices or receipts;
- remember your preferences for future bookings, when you have asked us to;
- improve our service, train our team, and meet our legal and regulatory obligations.
We do not use your information for advertising, profiling, or any form of automated decision-making.
4. Sharing & disclosure
Your information is shared only with the people and systems strictly required to serve you:
- Chauffeurs see only the assignment in front of them: the pick-up, the drop-off, the passenger name, and any preferences relevant to that drive.
- Operations & billing colleagues within Vion access information on a need-to-know basis to plan, dispatch and invoice.
- Trusted partner houses, in cities or on routes outside our direct operation, receive only what is needed to complete the leg of the journey we have asked them to handle. They are bound by written confidentiality terms.
- Service providers for payment processing, accounting, email and routine IT support, under contracts that limit them to the purposes we appoint.
- Authorities, only where we are legally compelled to do so, for example, in response to a valid order from a court, regulator or law-enforcement agency.
We do not sell, rent, or barter your information. We do not place it into marketing lists, third-party data exchanges, or advertising networks.
Discretion option
For high-discretion clients, we offer a no-record option: name kept under a private reference, journey notes destroyed once the trip is closed, and billing held under a parent corporate account. Please ask the team in advance if this is needed.
5. How long we keep it
We hold your information only for as long as it serves you or as long as the law requires.
- Active client records are kept while we continue to serve you and for thirty-six months after your last journey, so that we can resume seamlessly when you return.
- Billing records are kept for the period required by tax and accounting laws, typically eight years in India.
- Telematics logs are kept for ninety days, except where they relate to an incident or insurance matter, in which case they are retained until that matter is closed.
- Routine correspondence is reviewed annually and pruned where it no longer serves a purpose.
6. How we protect it
Our records are held on access-controlled systems, encrypted in transit and at rest where technically appropriate. Access is granted only to the colleagues whose role requires it, and is reviewed regularly. Payments are processed through PCI-DSS compliant providers; we do not store full card numbers ourselves.
Our chauffeurs and office staff are trained in confidentiality and bound by written undertakings. Devices used in the field are passcode-protected and remotely lockable.
No system is perfect. If a breach ever affects your information, we will tell you promptly, plainly, and with the steps we are taking to set it right.
7. Your rights
You may at any time ask us to:
- tell you what information we hold about you;
- correct anything that is wrong or outdated;
- delete records that we are no longer required to keep;
- stop using your information for a particular purpose;
- provide a copy of your information in a portable format.
Write to privacy@vionmobility.com with your request. We will reply within thirty days, and usually much sooner. There is no charge for a reasonable request.
8. Website & cookies
Our website uses a small set of cookies and similar technologies, kept deliberately limited:
- Essential cookies that allow the site to function, for example, to remember your session while you are on a page.
- Analytics in aggregate, so that we can understand which pages are useful and where the site can be improved. No individual visitor is identified through this.
We do not run advertising trackers, third-party marketing pixels, or social-network beacons on our site. You may disable cookies in your browser at any time; the site will continue to work, with minor cosmetic changes.
9. Children
Our service is intended for adults. Where a child travels with us (a school run, a wedding party, a family transfer), the booking and consent rest with a parent or guardian. We do not knowingly collect information from children directly.
10. Changes to this policy
We will revise this policy from time to time as our service or the law evolves. The version date appears at the top of this page. Where a change materially affects how we use your information, we will tell you by email before it takes effect.
